Posi­tion Title: Exec­u­tive Assis­tant to the President

Purpose of Posi­tion: Provides compre­hen­sive admin­is­tra­tive and oper­a­tional support to the Pres­i­dent and Vice Pres­i­dent of the Sam Beau­ford Wood­work­ing Insti­tute (SBWI). The Exec­u­tive Assis­tant ensures effi­cient day-to-day oper­a­tions of the President’s Office, manages commu­ni­ca­tions, sched­ul­ing, and logis­tics, and supports key insti­tu­tional initia­tives and strate­gic projects that advance SBWI’s mission.

Educa­tion Require­ments: Bachelor’s degree

Super­vi­sion Received: General super­vi­sion; reports to the Pres­i­dent and Vice President

Work Sched­ule: 24 Months, Full-time; occa­sional evenings and weekends

Exam­ples of Duties:

This posi­tion plays a crit­i­cal role in support­ing the lead­er­ship team and serves as a trusted liaison between the President’s Office and inter­nal and exter­nal stake­hold­ers. The success­ful candidate will:

• Provide direct admin­is­tra­tive support to the Pres­i­dent and Vice Pres­i­dent for Enroll­ment, includ­ing sched­ul­ing meet­ings, manag­ing calen­dars, prepar­ing docu­ments, and coor­di­nat­ing travel arrangements.

• Serve as the first point of contact for inquiries directed to the President’s Office, respond­ing profes­sion­ally and confi­den­tially to students, staff, board members, donors, and the public.

• Manage commu­ni­ca­tions on behalf of the Pres­i­dent, includ­ing draft­ing corre­spon­dence, emails, reports, and presentations.

• Coor­di­nate and assist in the prepa­ra­tion of board meet­ings, includ­ing agenda creation, minutes, and distri­b­u­tion of materials.

• Track key projects and initia­tives to ensure dead­lines and deliv­er­ables are met across multiple departments.

• Assist in manag­ing budgets for the President’s Office and Enroll­ment Growth Project, process­ing invoices, reim­burse­ments, and expense reports.

• Support fundrais­ing and devel­op­ment efforts, includ­ing donor commu­ni­ca­tions, sched­ul­ing, and follow-up correspondence.

• Assist with the orga­ni­za­tion of major campus events, meet­ings, and public appear­ances, ensur­ing align­ment with insti­tu­tional prior­i­ties and profes­sional repre­sen­ta­tion of SBWI.

• Main­tain highly confi­den­tial and sensi­tive infor­ma­tion with discre­tion and professionalism.

• Serve as a liaison between the President’s Office and inter­nal depart­ments, facil­i­tat­ing the accu­rate and timely flow of information.

• Conduct research, compile data, and prepare summaries, presen­ta­tions, and brief­ings as requested.

• Provide logis­ti­cal and admin­is­tra­tive support for strate­gic projects such as the Enroll­ment Growth Project, accred­i­ta­tion activ­i­ties, and community partnerships.

• Coor­di­nate commu­ni­ca­tion and docu­men­ta­tion for exter­nal part­ners, consul­tants, and government agencies.

• Main­tain orga­nized digital and phys­i­cal filing systems for insti­tu­tional records, contracts, and correspondence.

• Ensure effi­cient use of the President’s time by antic­i­pat­ing needs, prepar­ing mate­ri­als, and manag­ing competing priorities.

• Other duties as assigned by the Pres­i­dent and/​or Vice Pres­i­dent for Enrollment.

Minimum Require­ments:

• Bachelor’s degree and 3 – 5 years of progres­sively respon­si­ble admin­is­tra­tive expe­ri­ence in higher educa­tion, nonprofit manage­ment, or a related field.

• Excep­tional written and verbal communication skills.

• Strong orga­ni­za­tional and time manage­ment skills with the ability to handle multiple priorities.

• Proven ability to exer­cise discre­tion and maintain confidentiality.

• Profi­ciency with Microsoft Office Suite, Google Work­space, and modern commu­ni­ca­tion tools (Zoom, Slack, etc.).

• High degree of profes­sion­al­ism, integrity, and atten­tion to detail.

• Ability to work inde­pen­dently and collab­o­ra­tively in a fast-paced environment.

• Avail­abil­ity to work evenings and week­ends when required.

Desired Qual­i­fi­ca­tions:

• Expe­ri­ence support­ing exec­u­tive lead­er­ship or board-level operations.

• Famil­iar­ity with project manage­ment and donor rela­tions systems (e.g., Salesforce).

• Expe­ri­ence manag­ing budgets and financial tracking.

• Knowl­edge of higher educa­tion oper­a­tions or nonprofit governance.

• Commit­ment to the mission and values of the Sam Beau­ford Woodworking Institute.
